How to merge duplicate client profiles

Combine two client profiles into one when duplicate records exist.

Sometimes a client may end up with two separate profiles in Blueprint. For example, if a second profile was accidentally created with a typo or you didn't realize a profile already existed for that client.

This guide shows you how to combine two duplicate client profiles into a single record in Blueprint.

Before we begin

Before merging client profiles, please note:

  • Both clients must belong to the same clinic.

  • This action is permanent and cannot be undone.

  • Once completed, the secondary profile will be deleted and cannot be recovered.


How to merge two client profiles

The merge process follows a guided 3-step workflow.

Step 1: Open one of the client profiles

  1. Navigate to one of the client profiles you'd like to merge

  2. Click the Actions drop-down and select Merge client

  3. In the search box, find and select the duplicate profile (or paste the URL to that profile!), then click Next


Step 2: Choose the primary profile

  1. Review both client profiles side by side. You’ll see details such as date of birth, email, phone number, MRN, and creation date.

  2. Select which client profile should be the "primary" (kept) and which should be the "secondary" (merged and deleted)

  3. If needed, click Swap roles to change your selection, then click Next to continue

💡 Which profile should be the "primary"?


In most cases it does not matter which profile is kept as the "primary" and which one is deleted after merged.


Where it does matter: If both profiles contain different values for the same field (e.g., email or date of birth), the primary profile’s values will be kept.


Step 3: Review and confirm

  1. Review the summary:

    • Records being moved: Sessions, assessments, worksheets, treatment plans, and discharge summaries will be transferred from the secondary to the primary profile.

    • Conflicts: If both profiles contain different values for the same field (e.g., email or date of birth), the primary profile’s values will be kept.

  2. Check the box to confirm you understand the merge is permanent, then click Confirm merge


Expected outcome

Once the merge is complete:

  • You will be redirected to the primary client profile, which will now contain the data from the secondary profile.

  • A “clients merged” confirmation message will appear.

  • The secondary client profile will no longer exist.


What gets merged?

The following records are moved from the secondary client profile to the primary, if applicable:

  • Sessions and session notes

  • Assessment scores and assignments

  • Worksheets and check-in submissions

  • Treatment plans

  • Discharge summaries

  • Insurance information (unique payers only -- if both clients share the same payer, the primary’s record is kept)

  • Claims

  • Appointments

  • Interventions and recommendations

  • Clinician assignments (secondary’s clinicians are added as secondary clinicians on the primary profile)

  • Contact info -- If the primary is missing a phone number, email, or other contact field that the secondary has, it will be filled in automatically.

  • EHR-specific records -- EHR appointments and medications are reassigned to the primary profile within Blueprint. These changes are not automatically synced back to your EHR.


FAQ

  • Can I undo a merge?
    No. Client merges are permanent and cannot be reversed.

  • What happens to the secondary client?

    The secondary client’s profile is archived then deleted. Any assessment baselines are recalculated across the combined records.

  • Can I merge clients across different clinics?

    No. Both clients must belong to the same clinic.

  • I can't swap the primary and secondary profiles -- why?

    If your organization uses an external EHR that connects to Blueprint via integration, then the client profile that's linked to your EHR will remain the primary profile to preserve that integration and sync.

    If both client profiles are connected to your EHR, merging is not allowed. In that case, please reach out to our support team for help in this case: help@blueprint.ai

  • I don’t see the merge option. Why?

    You may not have access to this feature. Please check with your organization admin if permissions need to be updated.

  • What happens to if both profiles have the same assessments assigned but on different frequencies?

    If both profiles have the same assessment assigned, the primary profile’s assignment is kept and duplicates from the secondary are removed. Unique assignments from the secondary profile are transferred as-is to the primary.
