Overview: Workflows

Thoughtful, customizable automation for your your clinic.

Workflows help you streamline client care by automating important actions based on key events -- like when a new client is added, a Session is completed, or an Assessment is submitted. With a few simple steps, Admins can set up Workflows that trigger tailored actions for clients or clinicians, helping you and your team stay consistent, responsive, and efficient.

In this guide, we’ll walk through what Workflows are, how to create them, and how to customize them to fit your clinic’s needs.

What are Workflows?

Workflows is a feature that enables Admin users to create customized, automated actions within Blueprint based on key events (Triggers) that happen throughout the client’s care journey. Workflows are an organization-wide setting, and are unable to be set on the Clinician or Client level.


Permissions

Admin users are able to view, create, and edit their clinic’s Workflows. Clinicians and Supervisors will be able to view, but not edit, Workflows.


Triggers

A Trigger is the selected action that initiates the beginning of a Workflow, which include the following options:

  1. Client Added

    1. Note: Additional filter for Client Age can be added

  2. Session Completed

    1. Note: Additional filter for First Session or Every Session can be added

  3. Assessment Submitted

    1. Users can specify which Assessment should trigger the Workflow


Filter

A Filter is the condition that the Trigger must meet for the Workflow to progress to the Action.

Operators (parameters) include:

  • Less than

  • Less than or equal to

  • Greater than

  • Greater than or equal to

  • Equal to

  • Between (inclusive)

Session Completed

Sessions Completed

Options include:

  • First session

  • Every session

Assessment Submitted

Question/Answer

A client selects a certain answer to a specific question on the Trigger Assessment that matches the defined Filter answer(s).

Multiple answers can be set in this Filter.

Total Score

A client's total score for the Trigger Assessment meets the defined values.

​Operators (parameters) include:

  • Less than

  • Less than or equal to

  • Greater than

  • Greater than or equal to

  • Equal to

  • Between (inclusive)

Values (possible scores) populate automatically based on the selected Trigger Assessment.

Point Change

The amount that a client's total score has changed for the Trigger Assessment meets the defined values.

Values (possible point changes) populate automatically based on the selected Trigger Assessment.

Operators (parameters) include:

  • Increase

  • Decrease

Reference score includes:

  • Since previous

  • Since baseline

Percent Change

The amount that a client's total score has changed for the Trigger Assessment meets the defined values.

Values (possible percentage change) populate automatically based on the selected Trigger Assessment.

Operators (parameters) include:

  • Increase

  • Decrease

Reference score includes:

  • Since previous

  • Since baseline


Actions

Actions occur automatically when a Trigger has occurred. Users can select a Client or Clinician Action to occur.

Assign Assessment

The selected Assessment will be assigned to the client immediately and delivered on their Next Assessment Date.

Assign Worksheet

The selected Worksheet will be assigned to the client, immediately available to them in the Check-in section of the Blueprint mobile app and client website.

Mark as High Risk

Toggles on the High Risk flag on the client's profile.

Send Text Message

A text will be sent to the client prompting them to review their Safety Net.

Show Safety Net

The client will be prompted to review their Safety Net within the Blueprint mobile app and client website.

Send Email

An email will be sent to the client prompting them to review their Safety Net.

Clinician

Save Intervention for Later

The selected Intervention will be shown as recommended on the client's profile Summary page.

Send Email

An email will be sent to the defined recipient (Primary Clinician, All Assigned Clinicians, or any other email address) notifying them that a client has activated this Trigger.


Creating a Workflow

Creating a Workflow consists of selecting a Trigger and an Action.

  1. Navigate to the Workflows page by clicking your name in the upper right corner of Blueprint and select “Workflows”.

  2. Select “Create Workflow”.

  3. Name your Workflow, add a Description (optional), and select “Create Workflow”.

  4. Select your Workflow Trigger.

  5. Add an optional Filter, and select “Save”.

  6. Select the “+” button below the Trigger card to specify an Action.

  7. Select an Action from the dropdown and set related options if applicable. Select “Save”.

  8. Add other actions you would like to include in the Workflow.

  9. In the upper right corner, toggle from “Draft” to “Published”, to set the Workflow to be live within your organization.

You can come back and edit your workflow (name, description, triggers, and actions) at any time.
