Big picture: How scheduling works in Blueprint
Your Blueprint Calendar is where you manage your schedule and availability.
On your Calendar, you’ll see:
Appointments – scheduled sessions with clients
Events – blocks of time you add for yourself (like time off or admin work)
External calendars – optional calendars you connect to Blueprint for visibility
Each item serves a different purpose, but all appear together so you can see your full schedule in one place.
Notifications about appointments can be generated and sent to your clients from your calendar.
Appointments
Appointments are scheduled sessions with clients that appear on your Calendar.
Appointments include details like date, time, location, and session type.
Each appointment is linked to a Session Record, which contains billing information and clinical documentation for the appointment.
What to know:
Appointments appear on your Calendar and in the client’s session history.
Editing an appointment updates the session details.
Creating or updating an appointment may send a notification to the client, depending on your settings.

Events
Events are blocks of time you add to your Calendar for yourself such as time off, admin work, or personal commitments.
Events help prevent scheduling appointments during times you’re unavailable.
What to know:
Events appear on your Calendar but are not linked to client sessions.
Events do not trigger client notifications.
You can edit or remove events at any time.
Calendar
The Calendar is where you view all Appointments, Events, and connected external calendars in one place.
What to know:
You can create Appointments and Events directly from the Calendar.
External calendars can be added so you can see availability from other tools.
External calendars are view-only and sync one way: from your External Calendar to Blueprint.

Client notifications
When you create or update an appointment, you’ll have the option to send an appointment notification to the client with the appointment details.
If you prefer, you can also copy the appointment details and share them manually outside of Blueprint.
What to know:
Client notifications sent from Blueprint are delivered via email and SMS, based on the contact information listed on the client’s profile.
